Fleet Vehicle Collision Repair: A Manager's Checklist

Fleet Vehicle Collision Repair: A Manager's Checklist illustration

A fleet repair is mostly about downtime. Report incidents the same day, get written estimates fast, approve repairs quickly and track days out of service. Pick a shop that communicates and can prioritize.

Write the rules before the crash

The fleets that lose the fewest days have rules in place before anything happens. Decide who can approve repairs up to a set amount, who calls the shop, and who talks to the insurer. Put the shop's address, phone and hours in every glovebox, along with a one-page incident form.

The incident form should ask for date, time, location, other parties, photos and any report numbers. Drivers are rarely in a state to remember all of that after a crash, which is why a printed card works better than a policy memo.

Triage the vehicles

Not every damaged vehicle needs to leave service. A cracked taillight on a delivery van might be a same-week repair, while a bent steering component needs an immediate stop. Sort damage into three groups: unsafe to drive, drivable with a repair scheduled, and cosmetic.

Send photos of each vehicle so the estimate can be sorted by urgency. If several vehicles need work, repair the ones that earn revenue first and schedule cosmetic work for slow days. Keep a running log of days out of service per vehicle. After a quarter, the log shows which vehicles or drivers account for most of the downtime.
